We are currently looking to fill an Office Manager position at L2TMedia!

Job Summary

The Office Manager is responsible for a variety of facility and office operational duties and shall perform various tasks related to office maintenance and facilities management.  The Office Manager is proactive, works independently with limited supervision, and continually seeks out opportunities to make an impact on the organization's efficiencies.  The Office Manager will understand L2T’s suite of products and industry to maximize on efficient work product.

Responsibilities
 
  • Operate standard office equipment including pertinent software applications. Prepare and maintain accurate records while maintaining a high level of organizational and time management skills.
  • Act as the front desk point-of-contact for the employee base and all incoming guests.
  • Maintain a positive pleasant attitude in a fast-paced work environment.
  • Handle all guest, vendor, and employee calls, questions, and concerns.
  • Communicate cordially, effectively, and clearly with all employees, managers, and guests.
  • Ensure the reception area is consistently staffed throughout the day.
  • Identify operational challenges and develop action plans while independently interpreting guidelines to creatively solve problems when resources are limited.
  • Maintain relationships with third party vendors and building contacts, including: researching and selecting the best vendors for any particular task.
  • Assist the HR Director in onboarding new employees by ensuring they are set up on a company issued laptop, have a designated workspace, and have access to all company platforms.
  • Maintain and ensure the employee bulletin board is compliant.
  • Distribute all incoming mail and sign for packages.
  • Reconcile all purchases to the department credit card and provide necessary documentation to finance to record the expenditures.
  • Maintain the office keeping supplies stocked and all equipment in order.
  • Keep the kitchen area stocked and cleaned and order lunches for meetings as needed.
  • Proactively seek and provide recommendations to improve existing processes.
  • Support the organization, planning and coordination of business meetings, happy hours, and company—wide meetings.
  • Act as primary liaison between company and outsourced IT vendor. 
  • Serve as first line of support to employees for IT issues and facilitate support tickets when necessary to escalate to IT vendor.  Track all IT related equipment and employee assignments and reconcile IT charges to internal records.

Education Requirement
 
  • BA/BS in job field concentration.

Required Skills
 
  • Must be able to maintain a hybrid work schedule and commute to Evanston, IL.
  • Minimum of 2 years of relevant Office Management or Administration experience required.
  • Ability to manage time and complete multiple tasks while continually meeting and exceeding deadlines.
  • Strong attention to detail with the ability to organize a high—volume workload.
  • Must have strong computer skills, including advanced Microsoft Excel.
  • Must have advanced problem solving and analytical skills.
  • Must have excellent interpersonal skills and a positive attitude.
  • Must be self-directed and effective working independently, yet equally comfortable contributing in a team environment.
  • Exceptional communication skills to effectively message verbally and in writing, using a variety of communication methods.
  • Prioritizes and completes tasks with a concern for all the details involved, monitors and checks work for accuracy.
  • Accept direction and constructive criticism; perform calmly and effectively in an extremely busy work environment. 
  • Must be able to lift a minimum of 10lbs.
  • Highly proficient in Microsoft office and computer skills (Word, Excel, PowerPoint, Outlook).
  • Mastery of all product process and procedures and supports Supervisor and Manager level with process training, process documentation and validation testing.
  • Ability to translate technical aspects to customer-facing business language.
  • Proven track record of flawless execution, attention to detail and quality assurance.

The base salary range for this full-time position is $55,000 to $65,000 based on experience and the location where the job is performed.
